Short answer
Choose a geographic, national or toll-free number by required reach, caller cost and reception requirements. Confirm the exact number and its availability; a commercial label does not establish coverage or compatibility.
Key verification: Verify inbound calls and callbacks from the origins your customers actually use.
Sources and limitationsThe best type of number is the one your customers can use, your company can hire, and your systems can service. A geographic may fit with a local business; a number without territorial ties can serve national customer service; an 800 or 900 eliminates the cost of the call for the caller. None alone guarantees more trust or more sales.
Before requesting a prefix, define if you will receive calls from Spain, from other countries and if you also need SMS or outgoing use. Just because a number is "virtual" does not mean that it supports all of these functions.
A decision matrix by use case
| Type | When to study it | Question you must solve |
|---|---|---|
| Geographic | Business linked to a city or area | Do you meet the address and prefix availability requirements? |
| National without local link | One point of contact for multiple zones | What is the exact range and how is it billed from each origin? |
| 800 or 900 | Service in which you want the call to be free | What scope and reception cost does the company assume? |
The CNMC considers the 800 and 900 ranges equivalent as toll-free numbers for the user in its resolution on 800/900 numbering . Do not confuse this free with no cost for your company or with other prefixes that begin with 90.
Ask for the exact number, not a commercial label
The words "national", "local" or "free" in the catalog require a rank and service check. Ask for the format, input coverage and output capacity. If you receive international calls, it requires confirming accessibility from those countries; A valid number within Spain may not be reachable from outside.
CloudTalk collects different requirements by provider and number type. For Spain, its table separates voice landlines from an SMS-oriented landline product that does not support calls; It also indicates range limits for national and toll-free numbering. Check the official coverage and functionality and confirm your product before purchasing.
If you keep an existing number, the question changes: you need to check portability and maintain service during the process. Follow the guide to keep your landline.
Separate the published number from the attribution number
Your main contact must be stable and be under an account for which you know the person responsible. The numbers used to attribute visits may have another contracting cycle and it is not advisable to publish them without knowing how they are maintained or transferred.
Fictional example: a company publishes a fixed number on its invoices and uses dynamic numbers in a web campaign. The landline identifies the permanent contact; The dynamic set helps measure visits. Changing the attribution provider should include a review of those numbers, even if the business set remains the same.
Also check which number is displayed on the calls you return. Don't promise outgoing identification with any number or assume that all countries accept the same behavior.
The request form to the supplier
- Company activity and owner who will hire.
- Area or scope needed for service.
- Countries from which they should be able to call.
- Need for outgoing calls, SMS or messaging.
- People who will serve and destination of detours.
- Address requirements and requested documents.
- Number quota, consumption, renewal and exit conditions.
The sheet avoids purchasing first and discovering an incompatibility later. For numbers subject to specific requirements, wait for documentary approval before publishing them in campaigns or printed materials.
Three example decisions
Local service. A maintenance company that works in a city can study a geographic map of its area, as long as it meets the requirements. Choose a useful care path before expanding the numbering to each person.
Team with several locations. If you want a common contact, you must compare a national number with other input options, check calls from outside and define who answers. Team dispersion does not require publishing a number per employee.
Free customer service. An 800/900 may fit if the company accepts the cost of receipt and the available range. Ask for consumption by expected origin; Do not extrapolate the rate of a landline to this service.
How to verify your choice
Before launching, call from the origins that your clients will use, verify the route and check the corresponding invoice or usage detail. If you need SMS, try that feature separately. Save what has been checked and what is still pending.
The choice is over when you have an authorized number, accessible to the intended audience and served with the appropriate route. To assess the complete contract, use the phone system cost estimate by seats and extras .
