First sales response time: measure it with two clocks

Short answer

Measure from valid receipt of a new enquiry to the first documented human attempt. Report elapsed time and time within service hours separately. Automated acknowledgement does not establish human contact, and an attempt does not establish a successful conversation.

Sources and limitations

Responding quickly and selling are different outcomes. This guide measures when human work begins on a sales enquiry, to locate reception or assignment delays. It does not promise universal immediate replies or attribute sales improvements to a minute threshold. Start by defining a valid enquiry and the hours you actually staff.

Set start and finish before calculating

Receipt should be form acceptance or the channel’s recorded arrival, not a button click. The endpoint can be the first phone attempt or written human reply, according to your definition. Record separately whether the attempt was answered. With no action by report cut-off, show “pending” and its age: excluding those cases can artificially improve the average.

With no weekend service, 63 hours and 30 minutes elapse, while service time is 30 minutes: ten on Friday and twenty on Monday. Both figures answer different questions. The example assumes one time zone and no clock change; real data needs complete timestamps and the approved local calendar.

Locate the stage causing delay

Add notification and assignment times when available. Compare medians and long cases by channel and time window, showing sample size and pending cases. A sent alert does not prove anyone read it. Trace a test enquiry from receipt to action and check responsibility at each stage before replacing the tool.
