Invoice aging · Documentation-based guide with original exercise

Outstanding invoices: age balances from their due dates

Content updated:

Scope: Documentation reviewed on 13 October 2026. Examples are fictional and tests are proposed; CallsIQ has not performed product tests.

Short answer

An aging report groups outstanding balance rather than original amount by days since due date at one cutoff. Separate not-due, overdue and disputed balances. An old invoice may not be due; a partially paid invoice contributes only its open balance.

Key verification: Each invoice belongs to one bucket and totals match reconciled open balances.

Sources and limitations

Staff prioritise the oldest issued invoices although some have longer agreed terms. Collection review needs outstanding amount and when it became due. This guide provides a fictional aging worksheet without assessing solvency or interpreting legal deadlines.

Set cutoff and day convention

Use recorded due date, cutoff and balance reconciled after payments and adjustments. In the exercise the due date itself has age zero and is not yet counted overdue. Declare the convention and check your system’s rule. Avoid replacing unknown due dates with issue dates.

Fictional four-invoice case

Outstanding invoices: age balances from their due dates: table 1
InvoiceDays since due dateEUR balanceBucket
A−5500Not overdue
B0700Not overdue
C149001–30
D4040031–60

Open total: EUR 2500. Not overdue: 1200; overdue: 1300. Invoice C originally held 1200 and received 300: using the original adds nonexistent debt. Use mutually exclusive buckets and an unknown-date group. Keep disputes visible without deleting balances or treating them as payment commitments.

Evaluate Riibase for source data

Riibase presents invoicing and financial management in Accounting. Check whether this product, distinct from CRM, fits your contract and exposes balance and due date. Native CRM aging buckets or integration with a particular accountant are not claimed.

Complete the review

Reconstruct totals from documents and movements, review exceptions and assign the next check. CallsIQ has not run this Riibase case. A worksheet may suffice; software value depends on current balances rather than automatically colouring debts without evidence.
