Short answer
Accept a greeting through caller comprehension rather than desktop playback alone. Check onset, silence, numbers and ending over a phone. Retain script, version and previous file; avoid a lengthy speech before the caller’s required action.
Key verification: The listener identifies the business and next action without the script, and telephone playback does not truncate the message.
Sources and limitationsA greeting clear through headphones may start late or sound too quiet over telephony. It competes with background noise and the attention of someone trying to solve a problem. This guide proposes an audio-production test rather than claiming a professional voice reduces abandonment without measurement.
Write only what entry requires
Identify the business and next action through concrete wording. Avoid incompatible instructions, internal labels and lengthy conditions that are hard to remember. If the number leads to a menu, recording and options must correspond. Ensure the welcome message does not repeat the entire menu when both play consecutively.
Fictional case: a twenty-four-second file
| Part | Test duration | Review |
|---|---|---|
| Initial silence | 3 seconds | Trim if purposeless |
| Necessary speech | 17 seconds | Check names and action |
| Final silence | 4 seconds | Review next-step transition |
Seven silent seconds partly explain perceived delay, but do not remove pauses needed to understand instructions. Produce another test copy with adjusted silence and retain the original. There is no universal duration: compare informational needs and the complete journey before selecting a version.
Format and publication in CallHippo
CallHippo documents text or WAV/MP3 greetings below 5 MB, with exceptions for AI-agent numbers. Check the applicable journey and do not rename an extension to fake another format. Retain a recoverable version and use an authorised test number before changing the primary one.
Listening acceptance and purchase decision
Ask someone who has not read the script to note the business, options and action after one listen. Test normal volume, speakerphone and reasonable background noise; check distortion, truncation and music masking words. Record failures, version and outcome. CallsIQ has not run this CallHippo test; a recorder and basic editing may suffice to prepare audio.
