Short answer
To share a CRM screenshot, export a copy that preserves the explanation while removing unnecessary identifiers and data. Check metadata and residual details as well; editing the image does not change permissions or copies in the original system.
Key verification: Open the exported file and verify hidden areas and context before sending.
Sources and limitationsBefore sharing a screenshot of a CRM or report, prepare an image that preserves the explanation and eliminates data that the recipient does not need. The deliverable is a copy exported and revised for circulation. Restricting access to the original system remains a separate task.
Capture only the necessary area
Choose the question that illustrates the image: distribution of states, example of a filter or evolution of an indicator. Cut tabs, side lists, notifications and address bars that do not contribute to that explanation. If you can produce the example with fictional data, avoid capturing a real account.
Identify names, telephone numbers, emails, customer references, URLs with identifiers and confidential commercial data. A partially visible initial or number can still allow a person to be recognized in a small team.
Original Review Template
| Zone | Treatment | Verification |
|---|---|---|
| Name and contact | Replace in example or cover opaquely | No readable fragments left |
| Customer reference | Replace with fictional identified code | Does not correspond to a real record |
| Relevant flag | Keep with permission and context | Does not reveal an individual operation |
| Metadata and file name | Review unnecessary information | Do not include title, location or sensitive reference |
| Final file | Export copy without editable layers | Shared copy inspected |
Editing and metadata with PaintShop Pro
PaintShop Pro allows you to edit images and view EXIF and IPTC information from its information tools, according to the official Corel help . Please check the interface of your version. That feature does not mean that any export automatically removes all metadata.
To hide a field, remove its pixels in the copy or use a completely opaque overlay that is incorporated into the export. Blur, transparency, and a movable rectangle in an editable project can leave retrievable information. Keep the original only in its authorized location.
Verify the image you are going to send
- Export a raster copy for sharing, for example PNG.
- Open it outside the editor and expand the modified areas.
- Check that there are no layers, attachments or pages with the original.
- Review properties and metadata with a tool appropriate to the format.
- Ask a second person to review the remaining context.
- Attach only the final copy, not the project folder.
Rasterizing resolves the risk of removable layers, but does not by itself prove that the image is anonymized. A very small total, date and campaign name can reveal information even if you have deleted the phone.
Preserve the meaning of the report
If you replace figures or names with invented data, indicate it next to the image. Do not present a demo capture as a customer measurement. Maintain period, denominator and definition of the indicator when necessary to interpret it.
CallsIQ has not tested this flow in PaintShop Pro. The matrix is an original resource. A simpler editor may suffice if it allows you to prepare and review final copy with the same control.
