To share access in an agency, use individual accounts whenever the service supports them and reserve shared credentials for cases that really require it. The result of this guide is an inventory of accesses with owner, recipients and review. Integrations API keys are managed in their own loop.

Start with the access that the person needs

A person reviewing campaigns may need to read reports, but not permissions to change billing. Invite her as a service user with the appropriate role before considering sharing an administrator password.

If only one shared account exists, identify who authorizes access and what terms of service allow that use. The customer must retain control of their account. Prevents a password delivered via chat from becoming a copy whose recipient no longer knows.

The inventory must not contain the password. Stores a reference to the protected element. Also do not include recovery codes in the same document that circulates with the access map.

Pilot with a fictional account

  1. Create a staging item without client credentials.
  2. Share it with a person authorized by the manager mechanism.
  3. Check what you can view, use, and edit.
  4. Remove access and verify the result from the receiving account.
  5. Document who can manage the element and recover continuity.

Removing a permission in the manager does not delete a password that someone has already copied. If access to the service must cease, also act on the service account and change shared secrets where appropriate.

Periodic review

Compare current recipients with people still working on each project. Maintain additional authentication and recovery in the custody of the authorized holder. Resolve orphan accounts before an absence prevents access to a client.
