A short script for handing over context
To the client: “This query is handled by [team]. I'm going to check if [person] can help you and explain what we've already reviewed. Can you wait a moment?”
To colleague: “I have [client] for [reason]. We have verified [done]. [Decision] is pending. The reference is [ID]. Can you continue now?”
Upon return: “[Person] can continue with you and now knows why. I will transfer the call now.”
The script is a fictional template. Share the information necessary for that query and retain sensitive details in the authorized system. Saying "I'll pass it on to someone" does less than confirming the name or team accepting the case.
If the destination rejects the transfer, return to the client with a specific alternative: resolve what is within your power, agree on a callback or collect a reference. Promise a callback only when it is registered with the person responsible and the deadline.

Do a trial with three participants
You need a person to call, another to answer and another to receive the transfer. Use test contacts and let everyone know what will be tested. Write down the exact route and try a known internal destination first.

Check what each participant hears during the prior consultation. Also review the final record to see which segments appear and which person retains the business task. A conversation handed over to support may still be associated with an opportunity from the original seller.
Prevent a transfer from creating a new problem
A list of extensions without names or functions invites random selection. Keep a brief directory with reason served and alternative. If a query traverses multiple teams, review the path before adding another transfer.
When finished, leave a note with the reason, destination and pending. Don't register each segment as a new business request. For the customer, it usually remains the same query even if the telephone system maintains several technical records.
