How to use it

Describe the team with four figures: users, Spanish geographic numbers, and outbound minutes a month to Spanish mobiles and to Spanish landlines. Choose the billing period and the VAT rate. The tool applies the prices published by Aircall, CloudTalk and Zadarma, checked on 27 October 2026, and shows each one's monthly and twelve-month total, broken down into licences, numbers and minutes.

The "Your quote" column lets you compare a quote you already have: enter its price per user, minimum licences, included numbers, expected usage, extras and set-up fee. Everything is calculated in your browser and no data is sent.

What it calculates and the assumptions

Monthly cost = billable licences × fee + numbers not included × price per number + minutes outside the bundle × rate + other costs. Billable licences are the greater of your users and the plan minimum. VAT is applied to the total, and twelve months is the monthly total including VAT multiplied by 12.

  • Aircall: according to its pricing page for Spain, Essentials costs €30 and Professional €50 per licence per month with annual billing, with a minimum of 3 licences, 1 number included and €6 a month per additional number. Essentials includes 1,000 national minutes per user per month; Professional, unlimited national calls. The page does not show the monthly-billing price, only that annual billing carries a 25% discount; the tool derives it by dividing by 0.75 and marks it with an asterisk.
  • CloudTalk: its pricing page shows Starter, Essential and Expert at €25, €29 and €49 billed annually, or €34, €39 and €69 billed monthly, excluding taxes. Expert requires 3 licences. Starter includes 500 domestic minutes per user in the EU; Essential and Expert, unlimited domestic calls under a fair usage policy. Each Spanish local number costs 6 dollars a month according to its number pricing table.
  • Zadarma: its plans page publishes Standard (€0, 5 users), Office (€18 billed annually or €22 monthly; 10 users, 2 numbers, 1,000 minutes to mobiles and 1,000 to landlines) and Corporation (€36 or €44; 20 users, 5 numbers, 2,000 and 2,000), excluding VAT, and €2 a month per additional user. Minutes outside the bundle are charged at the Standard rate on its call rates page: €0.022 to Spanish mobiles and €0.013 to Spanish landlines, with 100 free landline minutes on Standard. Each geographic number costs €1.70 a month billed annually or €3.40 billed monthly. The tool costs every plan, including the Corporation multiples, and picks the cheapest for your scenario.

CloudTalk publishes its numbers in dollars and they are shown here in dollars. If you want to add them in euros, enter your exchange rate: the tool does not use one of its own.

Worked example

Fictitious data: a team of 6 users, 2 geographic numbers and 4,000 minutes a month (2,000 to mobiles and 2,000 to landlines), billed annually with 21% VAT. These are the form's default values.

OptionCalculation excluding VATMonthly incl. VAT12 months incl. VAT
Aircall Essentials6 × 30 + 1 × 6 = €186€225.06€2,700.72
CloudTalk Essential6 × 29 = €174 + 2 × $6 = $12€210.54 + $14.52€2,526.48 + $174.24
Zadarma Corporation€36€43.56€522.72
Your quote6 × 28 + 1 × 6 + 25 = €199€240.79€2,889.48

Aircall bills 6 licences because that exceeds the minimum of 3, and its 4,000 minutes fit within the 6,000 included. At Zadarma, Office would cost 18 + 1,000 × 0.022 + 1,000 × 0.013 = €53 and Standard €74.10, so Corporation wins. With a €180 set-up fee plus VAT, the first year of your quote comes to €3,107.28.

How to read the result and its limits

This is a documentation-based estimate, not a quote. It excludes add-ons, extended recording, paid integrations, number porting, international calls, 900 or 400 numbers and negotiated discounts. Nor does it compare features: if a cheap plan lacks an essential feature, the figure is no basis for choosing. Before comparing prices, check your team's requirements in the Aircall and CloudTalk comparison and the three-vendor comparison of Aircall, CloudTalk and Zadarma.

When your usage exceeds the minutes included in Aircall Essentials or CloudTalk Starter, the tool flags it: those pages do not publish the excess price, so the total is a minimum. For Zadarma, the Corporation x2 to x20 plans appear on its page with fee, minutes and numbers, but without users or a mobile/landline split; 20 users and an even split are assumed, and they are marked with †.

Common mistakes when comparing quotes

  • Comparing an annual-billing price with a monthly one: use the same billing period for all.
  • Forgetting the licence minimum: with 2 users, Aircall bills 3.
  • Adding dollars and euros without an explicit exchange rate.
  • Assuming Zadarma Standard's PBX is free: you must top up at least every three months, or it costs €4 a month.
  • Comparing without the set-up fee: the "Your quote" column calculates the first year including it.
