Organise documents through an inbox, consistent names and rules that send uncertain cases to exceptions. Test fictional copies before moving deliverables and avoid overwriting versions; classification does not replace backup.

Sources and limitations

To sort documents downloaded from multiple clients, define an inbox and sorting rules to find the correct reference. The result is a file circuit with visible exceptions. Moving files does not free up space or replace a backup.

Design a bounded inbox

Select a work folder for received documents. Avoid automating the entire desktop or all drives before you know what they contain. Agree where proposals, invoices and client resources arrive and who decides if a version is approved.

Define a naming convention when saving: client code, project reference, document type, and version. Do not use unnecessary personal names if an internal code is used to locate the resource.
