Short answer
Migrating from Excel to a CRM requires mapping contacts, companies and opportunities, preserving identifiers and reconciling relationships. Test a sample and prepare rollback before the final move; an upload without visible errors does not establish a usable portfolio.
Key verification: Compare records and relationships against the original copy and review rejects and duplicates.
Sources and limitationsTo move a business portfolio from a spreadsheet to a CRM, prepare a migration with defined fields, reconciled records, and a return point. The goal is to accept the portfolio into the new system, preserving the relationships necessary to work. It's not about importing a list of numbers into a dialer.
Freeze a source copy
Save a dated version of the sheet and agree when it will stop editing. Identify which rows are people, companies and opportunities. If a person has two budgets, they may need one contact and two opportunities; Don't reduce everything to a phone line.
Assign a stable source identifier to each entity. A row number changes when you sort the sheet. Don't use a phone as a unique identifier if several people share your company's phone system.
Field map before importing
| Source Field | Conceptual Destination | Check |
|---|---|---|
| person_id | Contact external reference | Uniqueness and persistence |
| company_id | Relationship with company | Existing company or controlled creation |
| budget_id | Opportunity reference | Do not overwrite another proposal |
| status | Commercial stage | Approved equivalence table |
| responsible | Owner user | Active account and correspondence |
| next_date | Agreed task or field | Format and time zone |
This map is an original template; does not represent column names of an API. Complete the actual mapping with documentation and a CRM sample. Empty fields must retain their meaning: “no confirmed amount” is not a zero euro sale.
What to check if you choose Riibase
Riibase claims to support CSV and Excel imports in the questions section of its official website . Your CRM page features customizable contacts, opportunities, and stages. That description does not document all of the importer's requirements.
Requests your current template and confirms entity types, required fields, batch limits, and update rules. Specifically ask if you can retain external references and relationships between contacts and opportunities. Don't hire based on the phrase "CSV import" alone.
Test with a fictional sample
- Prepare ten test contacts and six opportunities, including one person with two proposals.
- Includes an absent manager, an ambiguous date and a non-existent company relationship.
- Imports into an agreed environment and saves accepted, rejected, and modified rows.
- Review the six opportunities and their contacts, managers and next actions.
- Reimports a corrected row and checks whether it updates or duplicates.
CallsIQ has not run this trial on Riibase. The fictional batch requires observing behavior before using real clients.
Reconciliation and definitive change
Contrived example: 120 source contacts produce 116 additions and four rejections. The sum reconciles, but the rejections still need to be repaired and relationships reviewed. If 119 additions and four rejections appear, investigate the gap before continuing.
During the change, records who adds new operations and where. Retain the source copy with limited access until acceptance and the agreed term are completed. Decide in advance how to withdraw the lot if the importer fails; Deleting the entire account is not a proper return procedure.
