This procedure handles data output. If you must keep numbers, coordinate their continuity separately; offloading calls does not transfer a phone or extend a forwarding route.
Define what you need and what you should not keep
Prepare an inventory according to your purpose, obligations and revised deadlines. Exporting everything “just in case” is not an archiving criterion. Differentiate information needed for reporting and audio tracking or transcripts that you may no longer need to store.

Availability depends on the product, plan and activated fields. A field that was never recorded will not appear by choosing a broader export.
Export Nimbata with the correct view
Nimbata indicates that the export reflects the active view: date range, filters and selected columns. In Activity → Calls, review those elements and use Excel or CSV. See your export procedure .

A view called “attended only” may leave out losses that you need to reconcile the period. Decide the scope before downloading and save which filters you used.
Export WhatConverts and check filters
In the Lead Manager, WhatConverts allows you to export the current view, all columns and an option that adds Customer Journey when applicable. They all respect the active filters. The export includes Lead ID, useful for correspondences. See the official export guide .
Selecting "all columns" does not override a filter that limits rows. If your file requires different clients, profiles or periods, document each download and avoid adding them without checking duplicates and scope.
Validate the files before requesting deletion
- Open the file in a standalone tool.
- Check the first and last dates of the period.
- Reconcile it with the number of records in the equivalent view.
- Searches for repeated IDs and checks what each repetition means.
- Reviews characters, separators, currency, and time zone.
- Check a sample of correspondences with the CRM.
Save phone numbers and identifiers as text when appropriate. A sheet can alter the "+" sign, leading zeros, or long IDs. Keep the original unedited file and a separate working copy.
If a recording is represented by a URL, confirm whether that access will continue to work after deletion. When you need and can preserve audio, check the downloaded resource; Don't assume that a link is equivalent to a file.
An example service-exit record
Fictitious example: a quarter of calls from client A are archived. The file indicates period, profile, filters, 240 expected records, 240 downloaded, internal location of the file, person responsible and retention purpose. Three IDs are reviewed against the CRM and a transcript that was never generated is recorded.
The tab must log exceptions, not hide them, to declare a "complete" export. If the period does not reconcile, resolve the difference before losing access.
Also remove active dependencies
Review number replacement on the website, diversions, integrations, credentials and alerts. Coordinate its removal or replacement with a test call. Do not cancel the service while the website continues to show a number that will stop working.
