Short answer
Link each enquiry to its listing and record the question, status, owner and next action. Separate new conversations from duplicates and follow-ups. An interest register helps organise work but does not verify the other party’s identity or purchasing capacity, or establish a sale.
Key verification: Enter a fictional enquiry and follow-up and check they retain an owner without duplicating the conversation.
Sources and limitationsTo handle enquiries about a business advertised for sale, retain the listing reference, received question, responsible person and next step. Count distinct commercial conversations, separating duplicates and follow-ups. A request for information is not an accepted offer.
Clarify the enquiry process
World Businesses for Sale presents itself as a marketplace for buying and selling businesses. Before using it, confirm who receives enquiries, how they reach the seller and which history you can retain. This guide proposes your own register; it does not document a portal-to-CRM integration.
Check receipt with a fictional example agreed with the provider. Avoid sending simulated enquiries about third-party listings: reviewing your process does not require creating work for another seller. Define a response channel and a person who can resolve pending questions.
Original follow-up register
| Field | Purpose | Proposed rule |
|---|---|---|
| Reference | Link enquiry to listing | Retain the identifier received |
| Question | Identify missing information | Operational summary without full documents |
| Status | Organise responses | New, answered, pending or closed |
| Owner | Avoid inconsistent replies | One person coordinates each conversation |
| Next step | Create an actionable task | Agreed action and date |
| Closure | Explain why follow-up ends | Recorded reason without assuming a sale |
Short script for the first reply
“Thank you for enquiring about the specified listing. Which part of the activity or proposed scope needs clarification? I will review what information we can supply and we can agree the next step.” Adapt the wording to the question; do not automatically send complete commercial documents in response to every enquiry.
Do not describe a buyer as verified or financially capable simply because they use a form or share a phone number. The register organises work; it does not certify identity, purchasing capacity or the viability of a transaction.
Fictional reconciliation example
You receive ten messages: two repeat an earlier enquiry and three are follow-ups. Five new conversations remain to review, rather than ten new buyers. If one requests a later conversation date, record it as pending with that date. If another asks about an unrelated service, answer or refer it without counting it as purchase interest.
At week end, show new, answered and pending conversations alongside their reasons. Do not turn enquiry counts into sales or a business valuation. Use the executive report template to present progress in handling enquiries.
Acceptance check
- Reconstruct the source of a fictional enquiry.
- Check its owner and next task.
- Add a follow-up and verify it does not duplicate the conversation.
- Close a case without a sale and retain the reason.
- Review pending cases before expanding promotion.
