Lead, contact and deal: what is the difference in a CRM?

Content updated:

Scope: Documentation-based guide. The proposed resources and tests are editorial material, not results of product tests performed by CallsIQ.

Short answer

A contact represents a person or organisation; a lead represents potential needing evaluation and a deal represents a sale being pursued. One person can have several deals. Define conversion criteria and retain links and history: storing a phone number or converting a lead does not establish a sale.

Key verification: Reconstruct who enquires, what need is evaluated and which specific operation has an owner and next step.

Sources and limitations

Commercial terms are not identical across businesses and tools. Define the fact represented by each record. Otherwise importing phone numbers may increase an opportunity counter even though nobody expressed a buying need.

A contact is identity rather than buying intent

A contact retains person or organisation details and relationships. It may be a customer, supplier or participant without an active sale. The label establishes neither communication permission nor current commercial interest.

One person can enquire about several services at different times. Reusing identity avoids duplication but does not require every need to belong to one operation. Separate person, organisation and commercial task.

Leads and deals describe different work

The Pipedrive leads and deals documentation uses leads for unqualified potential and deals for opportunities pursued in a pipeline. CallsIQ uses deal as commercial opportunity rather than an already-won sale.

Other teams call every incoming contact a lead. Retain that distinction when connecting systems: an identically named field may represent a different entity. Mapping needs definitions rather than automatic label translation.

The map proposes a service-business model rather than a universal Pipedrive requirement. Decide what evidence converts an enquiry into active commercial work and apply it consistently.

Conversion worksheet retaining context

  • Associated person or organisation.
  • Specific need and known scope.
  • Confirmed fit and pending questions.
  • Owner and agreed next action.
  • Original enquiry history or reference.
  • Rule avoiding another operation for the same issue.

Pipedrive documents lead conversion and criteria. Fit decisions to your process. Afterwards check retained links and history in the account instead of assuming every cross-tool conversion preserves all fields.

One person and two needs

Fictional example: one contact first asks about repair, then annual maintenance. The business reuses identity and evaluates two needs. Two deals are not two new customers; one contact does not mean only one lifetime sale.

If the second call merely asks about the pending repair quote, link it to the existing matter under the defined rule. Do not create another deal for each phone attempt.

When a tool helps

Pipedrive may fit separating enquiries and opportunities while retaining relationships. Confirm plan features, permissions and limits. A well-defined spreadsheet can test the model before migration.

CallsIQ has not performed this account conversion. The proposed check reconstructs identity, need and next step without inflating sales. You can then design stages and measures using units with concrete meaning.
