A service pipeline advances through commercial facts, such as a proposal being sent or accepted, with clear entry and exit conditions. Define an owner and next action for each opportunity; call activity and completed tasks do not replace the customer decision.

A service pipeline must show the commercial fact that allows each quote to advance. Define stages with entry and exit conditions, a person responsible and a next action. "Three times called" describes activity; it does not demonstrate that the client has accepted a proposal.

Start with the process that your computer can already execute. Automations are most useful when the stages have a clear meaning; moving cards automatically before agreeing to it can create a compelling account of a confusing process.

The example is fictional and must be adapted to your contract. A company may require an order or signal to consider cattle; another uses a documented acceptance. Collection and provision of the service may require different subsequent registrations.

What fields make an opportunity operational

  • Contact and company where applicable.
  • Requested service and scope pending clarification.
  • Business manager.
  • Estimated amount and currency, indicating if they are not yet confirmed.
  • Next action, date and person who will execute it.
  • Document or evidence of the latest progress.
  • Reason for closing when lost.

Don't make every detail of the conversation a required field. Collect what changes a decision or allows you to complete the next step. A brief note can cover context that does not yet need reporting.

Test the rules with three fictional opportunities

  1. Incomplete request: remains in confirmed need until the missing information is received.
  2. Quote sent: goes to that stage with document and date, although no one has responded yet.
  3. Client accepts: only becomes won when the evidence that your company has defined exists.

Have two people classify the same cases without consulting each other. If they choose different stages, check the conditions. This test checks if the team understands the process; no automation or real logs needed.

Use clearly identified trial amounts and contacts and exclude them from the business dashboard.

What to do with opportunities that do not advance

Define a review by stage and a specific action: request data, confirm receipt or agree on a decision. The time allowed depends on the service and business cycle; do not copy a universal expiration of seven days.

If the client says they will decide next month, record that date. If there is no response after reasonable attempts defined by the company, it decides whether to close for cause or pending a justified review. Keeping all your cards open bloats your wallet and hides backlogged work.

How to maintain the process without duplicating records

A person can have several different opportunities; Multiple call attempts do not require creating multiple businesses. Decide when a new opportunity opens: new service, independent outreach, or an operation that will actually have its own closure.
