Short answer
Connect the call, requester and Zendesk ticket through identifiers and a rule for new incidents versus follow-ups. Two calls about the same case should not automatically create two incidents; verify the association supported by the integration.
Key verification: Test one incident with two calls and check for missing or duplicate tickets.
Sources and limitationsIf you handle support cases by phone and in Zendesk, decide how calls, requesters and tickets will relate. Recording each call provides traceability, but not every interaction represents a new incident. You need a rule for grouping follow-ups and preserving case context.
What CallHippo documents
The official integration synchronises contacts and logs phone activity in tickets. It requires administrative permissions in both systems; after connecting, the guide adds a webhook and two Zendesk triggers for new activity and updates. Seeing “Integrated” alone does not verify that complete workflow. Official Zendesk and CallHippo procedure.
Check plans, supported fields and what happens with multiple calls from one contact. Do not assume the integration automatically determines which incident each conversation belongs to.
Support relationship model
| Situation | Operational decision | Evidence |
|---|---|---|
| Customer calls about a fault for the first time | Identify the requester and open a case following the process | Call reference and problem description |
| They call again about an open incident | Relate the follow-up to that case | Confirmed ticket reference |
| One phone number represents several people | Verify the speaker before linking | Minimum requester information |
| Enquiry about a different problem | Keep a separate incident where appropriate | Reason and relationship to previous cases |
This table proposes human support decisions. It does not describe merging or deduplication guaranteed by CallHippo. Confirm the Zendesk tools you will use and their effects before grouping records.
Installation with checks at each stage
- Inventory accounts, permissions and the business’s Zendesk subdomain.
- Connect through CallHippo integrations following its current guide.
- Complete the webhook and triggers in Zendesk with your actual account values.
- Verify contact synchronisation and activity logging separately.
- Test an existing requester and a new one using fictional data.
- Remove duplicate test configurations only after identifying their purpose.
Do not copy identifiers from example screenshots. Do not add another automation to “fix” logging before reviewing existing triggers: you could create two tickets for the same activity.
Test one incident with two calls
Original example: a test contact reports an error, receives a ticket and calls again with additional information. Check the records the connector actually creates and how the agent keeps both events within the same operational context. Count incidents and calls separately.
Repeat with another problem from the same contact. The system should not combine it with the earlier case merely for convenience. Record which steps are automatic and which the agent must perform.
Diagnosing missing or duplicate tickets
Save the call identifier, requester, ticket and receipt time. Review permissions, connection status and trigger execution. If duplicates appear, compare source references before deleting: they may represent different interactions or overlapping logging workflows.
What improvement to expect
Measure activities without a related case, follow-ups lacking context and repair time. Do not assess the process only by the number of tickets created. CallHippo may fit if its connector covers the required logging, confirmed in the pilot. To choose between a connector and an external tool, use theintegration matrix.
