Short answer
Check which fonts are actually embedded in the PDF and what their licences allow. For documents that must be searched and read as text, prioritise text with compatible fonts. Outlines may preserve appearance but remove text from converted objects. Always retain the editable original.
Key verification: Open the export in another reader and check appearance, phrase search, selection and the expected fonts.
Sources and limitationsThe PDF looks correct on your computer but changes when a colleague opens it. Before converting everything into pictures, check whether the issue is the font, exported file or import mode. Reading a PDF and importing it for editing do not necessarily follow the same process.
Locate the substitution
Retain the original, note the typeface and export a copy. In the PDF reader’s font properties, inspect listed names and whether they are fully embedded or subsetted. If another font already appears there, investigate export; if it changes only when imported into an editor, review import settings and local availability.
The CorelDRAW text and font help describes embedding and outline export. Verify version and font licence before using these options; a selected checkbox does not establish that every typeface can be embedded. Do not modify font rights to force export.
What each representation preserves
| Output | Benefit | Trade-off to review |
|---|---|---|
| Text with embedded font | Text and portable appearance | Licence, size and included characters |
| Text converted to outlines | Character shapes | Text in those objects is lost |
| Rasterised page | Image representation | Resolution, file size and lost text |
Converting to outlines does not automatically make a PDF accessible. For proposals needing search, copying and assisted reading, retain text and also inspect structure and reading order. A subset may contain used characters without every character a later editor wants to add.
Decision example with two destinations
Fictional case: a short-letter logo is delivered as a vector for artwork, while a ten-page quote must support searching names and amounts. Outlines may suit the logo delivery copy when the recipient requests them. Do not automatically apply that decision to the quote: preserve text with permitted fonts and check readability there.
When the recipient needs editing, separately agree the editable format, assets and licences. Retain a text-based working copy for later corrections. Do not use an outlined file as the only project original: changing a figure may require rebuilding shapes instead of editing a field.
PDF acceptance protocol
Export a sample containing accents, a currency symbol, figures and a distinctive phrase. Open it in an independent reader and, when possible, on a device without the project font installed. Do not delete system fonts to create that situation. Compare line breaks, characters and spacing; search the phrase and select text.
Keep the accepted PDF, settings and intended destination. CorelDRAW can fit when vector editing and control over these exports are already needed. A simpler document may use another tool preserving text and meeting recipient requirements. We have not produced a typography test in Corel; this protocol is a reproducible proposal.
