Short answer
If daily CRM and phone totals differ, compare time zones and period boundaries using the original event time. Then check filters and exports; a call near midnight can fall on a different date without being lost.
Key verification: Reconcile a sample by identifier and document ambiguous times and export limits.
Sources and limitationsWhen the CRM and calling tool show different totals per day, compare time zone and period limits before searching for missing records. A call close to midnight may belong to different dates in two reports. Preserves the original instant and converts to the agreed area for comparison.
Time of the call and date of the report
A time can be written in UTC and displayed in a local time. If a system saves only "23:30" without a date or zone, there is no information to reconcile it. Uses date, time, and offset or a UTC instant, along with the zone that the report will use.
WhatConverts allows you to choose the zone from the user settings. Their documentation indicates that these preferences are personal, so two users may view dates differently. Official zone change and scope of personal settings .
Example of discrepancy without missing a call
Fictional example with fixed offset to explain the calculation: A call occurs on September 30 at 23:30 UTC. In a view configured with UTC+02:00 it appears October 1st at 01:30. A report by UTC months counts in September; another for months of that local time, in October. There is no missing call: the periods do not represent the same interval.
The conversion in the example does not replace a geographical area. In a real operation, use the appropriate identifier, such as Europe/Madrid, and updated rules that account for time changes. Common file to compare exports
| Data | Proposed rule |
|---|---|
| Call ID | Reference to join the same event |
| Original instant | UTC or date with explicit offset |
| Reporting area | An agreed and documented geographic area |
| Start of period | Limit included, with time and zone |
| End of period | Excluded limit, with time and zone |
| Extraction time | Download date to detect late updates |
Defining the end as excluded limit prevents the same event from entering two consecutive periods. Check that your tools apply the same convention or adapt the extraction; Don't assume it from the name of the filter.
Reconciliation process
- Exports the two sets with documented filters and extraction date.
- Searches for the same identifiers first, regardless of the visible date.
- Convert the instants to the common criterion, preserving the original columns.
- Applies the agreed interval and counts again.
- Separately check records without zone, late changes and duplicates.
- Publish the pending difference with its known causes.
Do not fix the result by adding two hours to all history records. A fixed rule may fail when changing hours or when working with clients from other locations.
What to do with ambiguous hours
When a local clock repeats a time, the unshifted date and time can represent two instants. Requests the full original data or event identifier. If you can't get it back, mark the record as ambiguous and don't make up an order to close a sale.
WhatConverts can provide a consistent view if users and reports use agreed settings. This audit reconciles periods; telephone schedule scheduling decides when it is answered and requires other rules.
