Start with a small table that allows you to decide what to improve. A dashboard with many percentages can hide that the opportunities are not responsible or that the next step is still undated.

Define whether you count queries, people, tasks or businesses. Five attempts on the same query are not five effective contacts. Also decide what happens if responsibility changes during the period.
Collect activity and result separately
Maintains responsible, date, activity, call outcome, opportunity and next action. A technical status “connected” does not equate to “quote accepted”. The commercial result must correspond to the criteria of the pipeline .

Person A has better percentages; B completes more tasks and wins more business. No number is enough to determine who worked best. Check load, difficulty of queries, amount, shift and observation time. The data is fictional and does not show performance of any client.
Compare equivalent segments
Separate new requests from existing clients, compatible queries from out-of-coverage entries, and shifts with different resources. If one person receives difficult emergencies and another receives simple renewals, the gross percentage mixes different processes.
Use periods and cohorts with enough time to close. Keep open cases and changes in responsibility visible. A sale closed this week may belong to an opportunity worked on for several months.
With small volumes, review specific cases in addition to the percentage. A single sale changes a rate calculated on ten opportunities a lot. Always present the numerator and denominator.
Avoid incentives that damage the conversation
Rewarding only quantity can drive unnecessary retries. Rewarding short duration can encourage premature closures. Rewarding only sales without context can discourage inquiries that require more work.
Link each indicator to an action: if there are expired follow-ups, check distribution and dates; If there are contacts without a next step, review the closure of the conversation; If the load is excessive, check strip capacity .
A twenty-minute weekly review
- Check if the required records are complete.
- Review pending and overdue tasks by person responsible.
- Choose two cases that explain an important difference.
- Agree on a specific change with the person in charge and date.
- In the next revision, check if that change was applied.
The twenty minutes are an organizational proposal, not a validated duration for all teams. Expand the review when there is an incident or decision that requires it.
