Short answer
A phone quote script should confirm the need, scope, fit and deadline, then end with an agreed next step. Adapt questions to what is already known and avoid promising prices or conditions without enough information.
Key verification: Practise price, urgency and uncertainty scenarios, and record the final commitment.
Sources and limitationsA quote script should help you understand the request, check if you can handle it and agree on the next step. Use it to support the conversation, adapting the order to what the client already explains. Reading a complete questionnaire when the information is already clear lengthens the call without improving service.
The following template is original and fictional. It is not a customer conversation or a technique with proven sales growth. It is intended for an incoming request for services.
Start: Identify the reason without interrupting
Hello, I'm [name] from [company]. How can I help you?
I understand: you need [brief summary of what you explained]. To guide you well, I am going to confirm some information.
If you call about a job already contracted, direct the query to the appropriate service team. Don't force a quote conversation over a claim or administrative procedure.
If you need another person, explain the destination before transferring and leave the minimum context allowed. Don't force him to retell the entire story if the team can receive it appropriately.
Confirm need, location and deadline
What do you need resolved?
In what area or location would the service be?
When do you need it? Are there any conditions that we should know to value the work?
Listen to the difference between preference and requirement. “I would like this week” does not equate to a contractual deadline. Record what is confirmed and leave what you still don't know as pending.
Requests only the data necessary for that service. For example, a technical visit may require further direction, but an initial coverage inquiry can be resolved with the location.
Check the fit before promising
We provide [service] in [area], but to confirm scope and price we need [information or visit]. Can you provide that for us or would you prefer that we agree on how to obtain it?
If it doesn't fit, say it clearly: "We don't provide that service in that area." If there is a known alternative that you can responsibly offer, explain its scope. Avoid recording as a viable quote something that the business cannot execute.
If the client already has a quote, ask what they need to clarify. The objective of the next action may be to review a question and not issue another document.
Responses to price, urgency and questions
| Situation | Adaptive response | What to record |
|---|---|---|
| “How much does it cost?” | «To give you an amount that corresponds to your case we need to confirm [variable]. “I can explain to you what the valuation includes.” | Missing data and response commitment |
| «I need it today» | «I'm going to check availability; I still can't confirm it. We will respond to you through [channel] when [responsible] reviews it. | Declared urgency and pending coverage |
| «I'm just comparing» | «We will indicate the scope and conditions so you can compare it. What do you need to be clear about? | Customer criteria without inventing an upcoming sale |
| "Call me later" | "Which time zone and number do you prefer for this consultation?" | Agreed and responsible moment |
If there is a valid rate for that scope, use it with its conditions. The script should not hide an available price or promise a figure that still depends on missing information.
Close with a specific agreement
So the next step will be [action]. It will be done by [person or team] before [deadline that you can meet], through [agreed channel]. It's right?
For this management we will use [confirmed contact information]. Thank you; We will record your query.
The closing form must contain a summarized need, requirement, pending information, action, person responsible, date and channel. If there is no agreed action, record that result; Don't invent an opportunity just to fill out the form.
HubSpot allows you to record calls, notes and follow-up tasks. Use the available fields and a note for context. Personalized call results may require higher plans; Don't assume they are part of Starter. Source: Activities and tracking in HubSpot .
Try three conversations before adopting it
Do a test with a compatible request, another one out of coverage and an urgency without confirmed availability. Check if the script allows you to listen, say what is still missing and close with a realistic action.
Evaluate clarity and accuracy of the record, not that all people say the same words. If you want to analyze conversations with AI, first define the criteria in the contact quality guide . To sort the opportunities created, use the quote pipeline .
