Choose recurring enquiries with a stable answer

Review ticket and conversation reasons without copying personal information. Select a task with an observable result: downloading a document, locating a setting or supplying the information required for an incident. A question depending on a particular contract or special permissions may require individual support.

Write the question in the customer's language. “Where to download the receipt” identifies an action; “administration” may be a category but does not answer the question. Separate tasks with different outcomes and keep variants leading to the same procedure together.

Publish a tested draft in the Help Center

The EngageBay article creation guidance describes a title, content, category and the choice between drafting and publishing. Confirm module access and plan conditions in your account. Publication is not review: test the text first and then offer the link to customers.

Use screenshots without identifying information, supported by text that remains useful when the interface changes. Avoid instructions depending solely on a colour or position. Readers need to understand the setting and expected outcome as well as where to click.

Test discovery and resolution separately

Give a colleague the initial question without the link or extra explanation. Check whether they find the article through the help centre. Then observe whether they can complete the task under the stated requirements. Finding the page but asking again about a step indicates an answer problem; failure to find it calls for review of titles, categories and navigation.

Fictional example: a customer finds an invoice guide but needs a payment receipt, and the article does not distinguish the documents. More links may worsen discovery. Correcting scope and explaining where each document is found addresses a specific confusion; it does not establish lower ticket volume.

Measure what you can establish

Record covered questions, test outcomes and tickets still requiring help for the same reason. Do not call every page visit an avoided ticket. A reader may visit repeatedly or contact another channel afterwards. An article helpfulness response is a declared signal rather than verified resolution.

Assign review when a process changes or a ticket contradicts instructions. Correct the existing article if its intent remains the same; another similar title spreads the confusion.
