Short answer
Before the demo, split 100 weighting points across requirements such as Spanish numbering, dynamic numbers, Google Ads and GA4, CRM, recording with consent, data location, export and cost. Score each from 0 to 3 according to the evidence: documented, demonstrated or put in writing. An essential requirement scoring below 2 blocks the contract even if the total is the highest.
Key verification: Check that the weights add up to 100 and that every score rests on evidence or a written clause.
Sources and limitationsTo evaluate call tracking software in Spain before you sign up, turn your needs into a weighted list of requirements, ask for a guided demo using your own website and numbers, and reserve the high scores for what the provider demonstrates or puts in writing. There is no "best solution" in the abstract: there is the provider that meets your essential requirements at a cost, and with exit terms, that you can live with.
This is not a ranking of tools. If you are still unsure whether you need attribution or a phone system, choose the category first with the guide call tracking or virtual phone system. If you need a budget figure by volume, use the call tracking cost comparison; and if your shortlist is Nimbata and WhatConverts, the comparison of the two already covers their documented differences. Here you evaluate one specific provider during a demo, whatever its brand, and the fact that the software is cloud based does not excuse you from checking anything that follows.
Requirements template with weights
Split 100 weighting points across the requirements before you watch any demo. If you set the weights afterwards, you will tend to reward whatever the salesperson showed best. Also mark which requirements are essential: a failed essential requirement blocks the contract even when the overall total is high.
| Requirement | What they must demonstrate in the demo | Suggested weight | Evidence that counts |
|---|---|---|---|
| Spanish local and mobile numbers | Provisioning a geographic number in your province and, if you need one, a mobile number; documents they require | 15 | Number active in the trial account or terms in writing |
| Dynamic numbers (DNI) | Number swapping on your test website and recommended pool size for your traffic | 15 | Test visit with an assigned number and a call logged against its session |
| Google Ads and GA4 | A test call that reaches Google Ads as a conversion and GA4 as an event | 15 | Conversion and event visible with their time and source |
| CRM | The call creates or updates the correct record without duplicating it | 10 | Test record with the associated activity |
| Recording and transcription with consent | Configurable prior notice, switching off per number and locating one specific recording | 10 | Settings shown and a written procedure |
| Data location | Hosting region, sub-processors and international transfers | 10 | Data processing agreement and sub-processor list |
| Export on cancellation | Export of calls, recordings and transcripts, and access period after cancellation | 10 | File exported during the demo and exit clause |
| Cost per number and per minute | Billing unit, minimums, currency and taxes | 15 | Quote broken down for your volume |
The weights are a starting point for a small business that invests in Google Ads. What must not change is the total: 100.
How to run the guided demo
Send the scenarios in advance and ask for them to be run live on your test website, not on a demo account.
- Visit from a test ad or with a campaign parameter: the number shown changes and the call is tied to that visit. If the pool looks small, check it against the guide to sizing a dynamic number pool.
- Visit without accepting measurement cookies: which number is shown and what is logged.
- Call to the geographic number from a mobile: duration, recording with prior notice and transcription.
- Sending to Google Ads: ask which conversion type they use. Google's documentation distinguishes calls from ads, calls to a phone number on your website, clicks on the number and imports of conversions recorded in another system, and Google forwarding numbers are required for some of them (call conversion tracking in Google Ads).
- CRM activity: the same person calls twice and two records do not appear.
- Export: the provider downloads the calls from the trial period while you watch.
Scoring scale
Score on evidence, not impressions:
- 0: does not meet the requirement, or they could neither show nor document it.
- 1: appears in public documentation or requires another plan, but was not demonstrated.
- 2: demonstrated in the demo with your scenarios.
- 3: demonstrated and written into the quote or contract.
The weighted score for each requirement is weight × score. The maximum possible is 100 × 3 = 300 points. Blocking rule: an essential requirement scoring below 2 prevents an award, whatever the total.
Fictional example with three providers
A fictional physiotherapy clinic in Seville evaluates three anonymous providers, A, B and C. It treats Spanish numbering, Google Ads and GA4, and export as essential. The scores are invented to illustrate the calculation.
| Requirement | Weight | Score A | Score B | Score C | A weighted | B weighted | C weighted |
|---|---|---|---|---|---|---|---|
| Spanish numbering | 15 | 3 | 2 | 3 | 45 | 30 | 45 |
| Dynamic numbers | 15 | 2 | 3 | 2 | 30 | 45 | 30 |
| Google Ads and GA4 | 15 | 3 | 3 | 1 | 45 | 45 | 15 |
| CRM | 10 | 2 | 3 | 2 | 20 | 30 | 20 |
| Recording and transcription | 10 | 2 | 1 | 3 | 20 | 10 | 30 |
| Data location | 10 | 1 | 2 | 3 | 10 | 20 | 30 |
| Export on cancellation | 10 | 2 | 1 | 3 | 20 | 10 | 30 |
| Cost per number and minute | 15 | 2 | 3 | 2 | 30 | 45 | 30 |
| Total | 100 | 220 | 235 | 230 |
Out of 300 points, A scores 220 (73.3%), B 235 (78.3%) and C 230 (76.7%). B wins on the total, but it has a 1 for export, which is essential: it only documents it and did not demonstrate it. C has a 1 for Google Ads and GA4. A is the only one that clears every blocking rule today.
The right decision is not to sign with A straight away, but to ask B to demonstrate the export. If it does and earns a 2, its total rises to 235 + 10 = 245 points (81.7%) and it becomes the highest-scoring candidate that is not blocked.
Questions that must be answered in writing
- Numbering: which types of Spanish number they offer, in which provinces, with which documents and how quickly. WhatConverts announced Spanish numbers in November 2024 with more than 200 area codes and agency prices from 2 dollars per number and 0.05 dollars per minute (WhatConverts announcement); ask for the current price in euros and whether it includes mobile numbers.
- Billing unit: not every provider charges per minute. Nimbata's page for Spain states a rate per answered call, with an adjustment if the average call duration per destination exceeds 3.5 minutes, and shows the amounts in dollars (Nimbata pricing for Spain). Ask for a simulated monthly invoice at your volume, in euros and including VAT.
- Export: Nimbata documents downloading the activity in Excel or CSV with the columns selected in the current view (call activity export); the article does not say that recordings are included. Ask how audio and transcripts are downloaded and for how many days after cancellation. The full list is in the guide on what to export before cancelling.
- Recordings and rights: in a 2025 procedure the AEPD, Spain's data protection authority, issued a warning to a company for failing to grant access to call recordings that it had deleted after the request, and noted that the recorded voice is part of the data covered by the GDPR right of access (AEPD decision, case EXP202520593). Ask them to show you how to locate and hand over a specific person's recording and how the retention period is set.
- Data: hosting region, sub-processors, transfers outside the European Economic Area and the data processing agreement.
The WhatConverts and Nimbata terms were consulted on 22 October 2026 and only illustrate what to ask; they are not an offer for your account.
Checks before you sign
- The weights add up to 100 and were set before the first demo.
- Every score has evidence: a screenshot, an exported file, a document or a clause.
- No essential requirement scores below 2 for the chosen provider.
- Recalculate the table with the final quote: if a written answer contradicts the demo, the written one prevails.
- Make a test call after go-live and check that it appears in Google Ads, GA4 and the CRM with the same source.
