Hand over a closed sale to service operations from the CRM

Content updated:

Scope: Documentation-based guide. The proposed resources and essays are original; They do not present results from a test conducted by CallsIQ.

Short answer

A won deal needs handover of accepted scope, commitments, dependencies and owners to operations. Define internal acceptance in the CRM and preserve the agreement version; won status does not establish that service delivery can begin.

Key verification: Test a handover rejected for missing materials and its subsequent acceptance.

Sources and limitations

A closed sale requires a verifiable transfer to the team that will provide the service. The goal is for operations to receive enough scope, commitments, and dependencies to get started. This guide provides a delivery form from the CRM, with Riibase as an option to evaluate to preserve commercial information.

Define what it means to accept the transfer

“Won” describes the business result. It does not prove that the materials, access or start date are available. Designates who delivers the handover record and who confirms that they can work with it. Even in a one-person business, separate the moment of selling from the moment of checking the execution conditions.

Use a common identifier for opportunity, agreement, and service record. Reference the accepted version of the scope, avoiding pasting partial clauses into loose notes. Subsequent changes must be linked to a new decision, with its impact on time and cost.

Original transfer form

Hand over a closed sale to service operations from the CRM: table 1
Field Fictitious example Operations check
Opportunity and agreement O-318 / proposal version 3 Accepted document can be opened
Contracted result Measure contacts from a website The scope explains what will be delivered
Exclusions Does not include changing the phone system Does not contradict sales promises
Dependencies Authorized access and test data There is a person responsible for each pending item
Start and review Start conditional on materials The date does not hide open dependencies
Internal acceptance Pending / accepted / returned The decision has a date and reason

Do not store passwords in the handover record. Record where to request access and who authorizes it. Also keep the contact who will approve the deliverables, which may be different from the person who requested a quote by phone.

What to check in Riibase

The Riibase official website presents contact management, history, pipelines and automation. These capabilities can serve as the basis for the business dossier. They do not prove on their own that there is a specific transfer button or integration with your project system.

Take the worksheet to a demonstration and ask to reproduce a fictional case. Check necessary fields, relationship with the agreement, permissions and how to locate a pending transfer. If any party requires an external document, it retains its link and responsibility; do not assume functions that public documentation does not detail.

Test a rejected operational handover

Simulate a won opportunity that promises an immediate date but lacks materials. Operations returns the handover record indicating the dependency and sales agrees on a viable date. The system must allow this blockage to be located without deleting the commercial result or inventing that the service has already started.

Then complete the dependency and accept the transfer. Verify that the correct agreement is still accessible and that a scope change does not silently replace the previous version. Internal acceptance authorizes organizing execution; It does not replace the client's agreement with the completed work.

Criteria to implement the process

Accept the flow when a person can continue the service by reading the file without reconstructing what was promised from scattered calls. Riibase is a documentary option to evaluate, not an implementation tested by CallsIQ. The worksheet also works for an existing CRM or a small manual process. Sources reviewed on 4 October 2026.
