To coach an agent during a call, first agree on what the supervisor can do: listen, talk only to the agent, or join the conversation. Rehearse the three modes with the team and set a signal to call for help. Training works best when it pursues a specific skill and ends with a brief review.

For example, you can practice confirming a need before promising a quote. The supervisor observes this behavior and helps when necessary. A session without a defined objective can end in contradictory comments that distract the person attending.

Prepare a session with an observable target

Define a behavior, a help signal and an intervention condition. For a new agent, a possible goal is to close each inquiry with a next step understood by the customer. “Sell better” is too broad for a specific session.

Agree on the session with the worker, the information to the corresponding participants and the processing of their data. Use the access necessary for authorized training. An app's silent mode describes its audio; It does not by itself resolve information and privacy obligations.

Rehearse the audio before accompanying clients

  1. Start a conversation between two test participants.
  2. Have the supervisor listen in and observe the notifications shown to the agent.
  3. Switch to whisper and check that the other participant does not hear the instruction.
  4. Go to intervention and confirm that both can hear the supervisor.
  5. Exit monitoring mode and verify that the conversation continues.

Record which version, device and permissions you have used. If there is any doubt about who can hear, stop the test and review the selected mode. Avoid entering sensitive phrases until you have confirmed the audio path.

CloudTalk documentation indicates that supervisor audio is not incorporated into the call recording, even when talking to both the agent and customer. Therefore, a later playback does not reconstruct all his interventions. Keep a training note limited to the objective of the session.

Use instructions that the agent can apply

During a conversation, a short suggestion is often easier to use than several simultaneous explanations. Prepare phrases like “confirm the deadline,” “summarize what was agreed upon,” or “check that exception.” Avoid dictating long responses that force the agent to listen to two conversations at once.

If you are going to intervene, present your role clearly: “I am [name], responsible for [team]. I am joining to review this condition with you.” The phrase is an original template and must be adapted to the actual reason.

Close with a short review and the next practice session

Ask the agent to first explain what they were trying to achieve and what was difficult. Add an observed example, a concrete improvement and a next opportunity to practice it. Avoid turning a single conversation into a ranking of overall performance.

A sufficient note can record date, skill, aid used and next exercise, with an internal reference to the conversation when necessary. Review recording access permissions separately . The expected result of this session is a behavior that the agent can repeat with greater autonomy.
