Offline CRM: prepare a visit and synchronise afterwards

Content updated:

Scope: Documentation-based guide reviewed on 7 October 2026. Exercises and protocols are original proposals, not product tests performed by CallsIQ.

Short answer

Prepare and check required records while connected, test the task without a network and verify changes in the web version afterwards. Pipedrive documents offline work in mobile apps, not the web app. Do not assume attachments, integrations or simultaneous conflicts behave identically.

Key verification: The fictional note created offline should appear once in the web record after reconnection and synchronisation.

Sources and limitations

During a visit without coverage, you need information and must record the next step. Having an app installed does not guarantee that every datum and function is available. Accept the specific tasks needed before relying on them in a real meeting.

What Pipedrive documents

The official mobile app help describes offline work and synchronising changes after reconnection. The web app requires connectivity. Check version, supported operating system and specific tasks: this general capability does not establish that every external document or integration works offline.

Preparation before the visit

While connected, sign in with the authorised account and open required records. Check that the phone shows relevant contact, activity and notes. Separately verify documents, maps and links depending on other services. Limit stored information to what is needed and apply device locking and company policies.

Do not log out or reinstall an app to test whether pending changes survive. That can alter local data. Before switching devices or handling a fault, consult support instructions and confirm what has synchronised. Keep an approved alternative contact channel available if essential meeting data is missing.

Pilot with a fictional record

The original acceptance CSV contains five checks identified O1 through O5. Create a permitted demonstration record, open it online and disconnect every device network. Check offline status before adding the DEMO OFFLINE note; do not rely on the Wi-Fi icon alone.

Reconnect and allow synchronisation to complete. In the web app, check the note, correct record and absence of duplication. Retain fictional screenshots or a time-and-result record. Do not declare synchronisation complete merely because the phone has signal: verify the data at the other end.

Simultaneous edits need another check

If another person changes the same field while you are offline, ask which conflict rule the product uses. Do not assume “last write wins” or that every note merges. Test a collision only with fictional data and team permission, recording both actions and the result.

For real work, agree which fields each owner may edit during the visit and who reviews pending changes. An unconfirmed local note remains pending; intention alone does not make it shared history. Avoid repeatedly copying it manually while also waiting for automatic synchronisation.

A criterion for choosing the tool

Evaluate Pipedrive mobile when verified offline tasks meet field-work needs. An approved local planner may suffice for a few notes without CRM dependency. Acceptance means required data availability and later persistence, not calling, email or video without coverage. CallsIQ proposes this pilot without claiming to have run it in an account.
