Short answer
A post-quote email sequence should help a decision and stop on response, unsubscribe or closure. Define entry, messages, ownership and exit conditions before automating in EngageBay; continuing messages after resolution harms follow-up.
Key verification: Test each stop condition with fictional contacts before activation.
Sources and limitationsAn email sequence after sending a quote should help the recipient make a decision and stop when there is already a response. The deliverable of this guide is a sequence with messages, output conditions and those responsible. The pipeline stages are defined separately.
Select who can enter
Start with people who have requested the quote and accept this follow-up by email. Maintain sending date, version of the proposal, contact and person responsible. Exclude unconfirmed addresses, unsubscribes and closed opportunities. A purchased list or a full CRM export does not constitute a proper recipient list.
Agree with the client on the review date. If you ask to wait two weeks, that information takes priority over an automatic calendar. Also record if another person on the team is already having a conversation, to avoid two parallel follow-ups.
Three messages with a different function
| Original example | Contents | Exit condition |
|---|---|---|
| Confirm receipt | «I sent you the P-104 proposal. Have you been able to open it? If any information is missing, answer me here. » | Reply or return mail |
| Resolve a doubt | «The proposal includes two visits. Do you need us to review the scope before deciding? | Change request or agreed meeting |
| Agree on a next step | "Would you prefer that we resume the quote on another date or that we close the follow-up?" | New date, rejection or closure |
These are fictional texts to adapt, not messages sent by CallsIQ. Choose the intervals as agreed; There is no universal separation of days. Avoid emergencies or discounts that the real proposal does not offer.
Implement the process in EngageBay
EngageBay documents email sequences with sending intervals and configuration from the sales area. See your sequence guide for your account interface. Confirm that your plan includes the features you need and how the sequence is broken when you reply or change the contact's status.
Prepare an inactive sequence first. Enter subject, identifiable sender, message and wait. Link only one test group. If your account does not automatically detect a response, assign a manual review and removal of the contact before the next send; Don't assume that the tool interprets any response.
Test stop conditions before activation
- A test contact responds to the first message: check that it does not receive the next one.
- Another requests an unsubscription: confirms exclusion from future communications.
- The address fails: the controller receives a signal and does not continue sending.
- Opportunity is won or lost: quote tracking ceases.
- Another date is agreed: verify that the calendar fits.
These are proposed tests; have not been run on EngageBay. Save expected result, observed result and date. Maintain the manual process until any non-working outputs are resolved.
What to measure and when to subscribe
Counts useful responses, revised proposals, and successfully stopped follow-ups. Openings of mail do not equate to acceptance. A small quote list can be managed with manual tasks; values EngageBay when volume and rules justify automating it.
Relate the answer to the quote, not to a supposed income. The sale requires its own evidence and collection may come later.
