Short answer
Inventory where the video is used before updating it. In Synthesia, generating a version and replacing the published version are separate actions; downloaded or independent copies require their own review. Verify every destination against the new instruction and retain a record of the version audiences should use.
Key verification: Open the shared link, embedded page and each independent copy to confirm the approved instruction is visible.
Sources and limitationsA business video may continue showing a menu that no longer exists or a condition that changed. Editing the project does not establish that audiences see those edits. The task is to update the distributed version and locate copies that do not follow the original.
Start with a destination inventory
Locate links sent to customers, pages containing players, downloaded files, training platforms and language duplicates. Identify an owner and audience for each destination. Knowing only the main page is insufficient evidence that all outdated instructions were removed.
| Destination | Relationship to the original | Proposed verification |
|---|---|---|
| Shared video link | Published version of the same project | Play the changed passage |
| Embedded player | Managed project link | Check inside the actual page |
| Downloaded file | Separately distributed copy | Replace or remove the old file |
| Independent language duplicate | Project with its own publication | Review translation and publish the duplicate |
The table is a proposed editorial inventory. Add internal delivery references without copying customer information. An unknown destination remains pending rather than being assumed updated because other destinations work.
Separate editing, generation and publication
The Synthesia version history guidance explains that generation saves a version and published replacement uses Reshare and Replace. The shared URL stays unchanged for the same published video. Review current account options before applying changes.
First describe the changed claim and its reason. Edit the script, visible text and resources explaining that step. New narration contradicting an old screenshot is an incomplete update even when generation succeeds. Do not use the change to add unverified features or benefits.
Original acceptance procedure
- Record the required change and a reference to the previous version.
- Prepare new content and check names, links and conditions.
- Generate the version and review the whole passage with preceding and following context.
- Approve the audience version and replace publication through available account options.
- Open every inventoried destination and compare its instruction with the approved version.
- Remove, replace or label each old copy that does not follow the original project.
This procedure separates editorial review from product functionality. It does not assume the platform knows every file downloaded or distributed elsewhere.
Treat independent languages as separate publications
The independent language version documentation says duplication breaks the update relationship with the original. In that structure, review and publish each duplicate separately; updating Spanish does not validate the English version.
Fictional example: a CRM option changes name. The original video shows the new name, but an MP4 included in a course retains the old one. The inventory identifies the pending destination and its owner replaces the copy. Success is verified by playing the actual course rather than inspecting only the Synthesia project.
Retain a response if the change is incorrect
Record who approved the version and which destinations passed acceptance. If restoration is needed, verify the available history process and which publication becomes accessible afterwards. Do not restore known incorrect instructions just because an old video looked more polished.
Synthesia may fit frequent process-video updates with publication management. A conventional editor also allows file replacement with more manual destination coordination. CallsIQ has not performed this account update or measured time savings; the inventory and test are proposals.
