Service users, budget approvers and those formalising acceptance may be different people. Record roles and confirmed evidence rather than inferring authority from title or email. A positive demo establishes neither approved budget nor authorised signature; make outstanding confirmations explicit.

A contact requests a demonstration and likes the tool. The seller marks the deal contract-ready although another person controls the budget. This guide proposes a decision map to prevent that leap. The case is not an actual sale and identifying roles does not guarantee faster closure.

Confirmed functions rather than assumed titles

Ask who evaluates use, authorises spending and formalises acceptance. One person may hold several roles and several may share one. Record the answer, source and confirmation status. Avoid assuming every director may sign any amount: applicable authority needs checking for the particular transaction.
